Wedding Check List

18 Months


Ring Mercure Ballarat’s Wedding Coordinator:

  • Arrange to view the room set for a wedding
  • Book a reception date
  • Briefly discuss the type of reception and approximate number of guests
  • Pay a $500.00 deposit and sign our Hotel Policy and Terms and Conditions Form to confirm your booking
  • Choose your church and/or marriage celebrant
  • Book your limousines/hire cars
  • Consider your photographer/videographer
  • Consider the type of entertainment you would prefer

 

6-12 Months

  • Decide upon your Honeymoon destination. This should be booked as far ahead as possible. If travelling overseas, check passports, inoculations, visas and travel advisories
  • Start looking for your wedding dress, bridesmaid’s dresses and men’s outfits

 

3 Months

  • Finalise your wedding dress, head dress, shoes and bridesmaids dresses
  • Choose the wedding rings
  • Discuss and order floral decorations • Order wedding invitations and any other stationery you may require for the reception
  • Order your wedding cake

2 Months

  • We will call you to arrange for you both to come in for a “details” appointment. We will discuss your menu and wine selection, agenda, candles, linen etc. This takes approximately one hour
  • Finalise guest lists and write out invitations and envelopes ready for mailing
  • Groom, best man and groomsmen should choose their outfits

 

6 Weeks

  • Mail invitations
  • Keep a record of acceptances and inability
  • Check honeymoon arrangements • Have your hairdresser decide on a style suitable for your head dress
  • Have a practice make-up session

 

4 Weeks

  • Acknowledge gifts as soon as they are received
  • Check the wedding ceremony arrangements and organise for a rehearsal if necessary
  • Choose gifts for the bridesmaids, groomsmen etc

 

2 Weeks

  • Final check on cars, photographers, music and cake
  • Cake bags and special goblets to be purchased if required

 

4-5 Days


We will call you to arrange for you both to come in for your final appointment. At this time we will re-confirm all the details of the reception. This takes about 30 minutes.
We will require the following:

  • Place cards
  • Alphabetical guest lists
  • Table listing
  • Notification of any special diets we need to cater for
  • Notification of any children’s meals
  • Trinkets to go on the bridal or cake table e.g, silver goblets
  • Bonbonnieres
  • Final guest numbers
  • Full payment
  • Wedding cake
  • Cake bags
  • Ensure that the MC is briefed on his duties. Our supervisor will liase on the day and go through all the fine details
